Job Description

The Nevada Broadcasters Association is looking for a Full Time Business Manager to organize and coordinate administration duties, office procedures, and accounting responsibilities. Your role is to manage the Accounts Payable/Accounts Receivable activities, create and maintain a pleasant work environment (keep the plants alive), ensuring high levels of organizational effectiveness, communication and safety, while giving administrative support to the President and Vice President and other staff.

Business Manager responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors, human resource duties, and bookkeeping/accounting duties. Previous experience as a Front Office Manager or Office Administrator would be an advantage. The successful Business Manager should also have experience with a variety of office software (QuickBooks-Proficiency is required, Gmail/G-Suite Platform, Excel, and Word) and be able to accurately handle administrative duties. Familiarity with WordPress is a plus.

Ultimately, the Business Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Responsibilities

  • Ensure that all items are invoiced and paid on time and that checks received are processed in a timely manner
  • Work with NVBA Accountants in preparing payroll
  • Schedule meetings and appointments
  • Organize the office layout and order stationery and equipment, maintain office supply inventory
  • Maintain the office condition and arrange necessary repairs
  • Partner with the President and Vice President to update and maintain office policies as necessary
  • In concert with the team, organize office operations and procedures
  • Coordinate with IT/Web design vendors on all office networking and web maintenance
  • Manage contract and price negotiations with office vendors, service providers
  • Working with the President, manage general budget, ensure accurate and timely reporting
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • Coordinate with facility management vendors, including cleaning, and security services
  • Assist in planning in-house or off-site activities, like parties, celebrations and conferences
  • Controlling correspondence; Designing filing systems; Assigning and monitoring clerical functions
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Achieve financial objectives by helping to prepare an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions
  • Updating business information with Secretary of State, County Assessor’s Office
  • Updating the NVBA job bank and website
  • Coordinating the annual audit with NVBA auditing firm
  • Regularly reviewing the statewide ABIP inspection schedule and arrange needed inspections with the inspector
  • Other duties and projects as assigned

Requirements

  • Proven experience as an Office or Business Manager, Front Office Manager or Administrative Assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel in particular)
  • Advanced computer skills (QuickBooks experience is a must)
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang is a plus
  • Familiarity with Mailchimp is a plus
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements

  • Experience with scheduling, budgeting and payroll
  • Associate degree required (B.A. or B.S. preferred)
